Operations Co-ordinator

About our opportunity:

The role is to provide operational and administrative support to the depot manager ensuring the smooth and efficient running of the depot back office administration and to coordinate the management information required to monitor and improve operational performance

What you will be doing:

  • Work with the operational manager to develop and deliver  general administration
  • To be organised and demonstrate attention to detail
  • Act as main point of contact for all contractors/suppliers and build and maintain relationships with these to be able to instruct the contacts accordingly
  • Planning and forecasting repairs/defects/equipment orders
  • Develop and maintain the records/scanning  for various plant and equipment
  • Take lead on data analysis and report all defects/ issues to operational management
  • Deal with all incoming telephone enquires in a friendly and professional manner, ensuring that queries are passed to the relevant person
  • Co-ordination of key reports and databases
  • Plan and schedule resource/training to the requirements of the operational department
  • Provide support for new starter induction
  • Liaise with internal operations and general public
  • To work as a team member within the operational department to provide a resilient administration service
  • Record and communicate minutes and actions as and when required
  • Ensure all invoices are dealt with correctly and accurately in line with EMR procedures and policies
  • Raise purchase orders as and when required, maintaining spend data against budgets
  • Collate data and produce reports on excel and the internal system, TCM
  • Specify system, processes, documentation (safe working procedures  (SWPs)) and methodologies, control and support for the operational department
  • Prepare materials and information for team meetings (tool box talks)
  • Issue Didbox fobs
  • Raise invoices, administer and check for the management team to sign off and complete the tasks and provide head office with the information
  • Mobile plant folders are required to be kept up to date with standard forms, PUWER regs, service inventory and service history

About you:

  • Previous administration experience
  • Experience of a fast paced, and working within a, blue collar environment  
  • IT literate with the ability to think analytically and laterally
  • High level of oral and written communication skills in order to communicate effectively to the operational department
  • Ability to work efficiently and accurately  
  • Able to listen and follow instructions to complete a task
  • To be flexible in approach and to be comfortable with a fluid organisation structure that requires both teamwork and self–sufficiency as necessary
